Goals
Financial advisors spend significant time after client meetings reconstructing notes, chasing down action items, and manually updating CRM records — time that could be spent building client relationships. This project set out to solve that problem by creating an AI-powered conversation capture tool that records, transcribes, and extracts key action items in real time, so advisors can stay fully present during meetings and trust that nothing falls through the cracks.

We designed a tool that helps advisors stay focused and available during important client meetings. Our product is an easy-to-use AI that captures conversations and creates clear meeting notes, insights, and action items, so advisors can better support their clients.


AI Generated Meeting Prep
Be ready to meet with clients
An advisor can trust that all important client information is gathered from past meetings and CRM records. This info is sourced and sorted by our powerful AI engine. If an advisor is not satisfied with these notes they may ask the AI to regenerate or manually adjust in the rich text editor.

Upload or record in real time
Flexible data capture
We put the power in the hands of the advisor to either upload an audio file, text notes or record a conversation in real time.

Real time transcription
Look who’s talking
AI voice recognition can determine the speaker and capture an exact transcription and timestamp to create an accurate record of what was said and when it was said.

Real time action Items
Next steps made easy
Our product enables advisors to clearly identify the next steps required for each client conversation. Advisors can approve or dismiss each suggested action item..

Comprehensive Post-meeting synthesis
Summary + Insights
After the meeting our product gives the advisor deep level insights like a meeting summary, next steps, audio playback and updates to client data which all feeds back into our deep AI knowledge base.
Design Process
We followed a step-by-step process starting with research and definition, moving through exploration, and ending with delivery, turning insights into practical solutions at each stage.

Define with technology partners
With our third party AI services provider we developed an initial capabilities study to assess what was possible and what our solution could look like.

Wireframes & Data Architecture
We produced several rounds of low and medium fidelity wireframes to place what our tech partners created inside of our current experience.

Design and Delivery
To give advisors real ownership over their tools, we built customizable panels, drag-and-drop layouts, and sharable configurations. These elements transform the dashboard into a living instrument that evolves with each portfolio and advisory style. Instead of forcing users into rigid templates, we empowered them to design their own operational rhythm.

Outcomes
We created an extremely powerful AI note taking product that can be re-styled and configured for any advisory client across the globe. This product has helped Communify to further establish its advisory AI product line and grow its bottom line significantly.

We produced multiple rounds of high-fidelity designs in close collaboration with technology partners, stakeholders, and developers, ensuring the solution remained technically grounded at every iteration. We engaged external clients throughout the process to validate that the designs met their real-world needs. To refine our decisions, we ran A/B testing both internally and with external users, using those results to guide final design choices before handoff.
